CertiPay is seeking an Implementation Assistant to join our growing team.  Could it be you?

 

This position will have two primary areas of responsibility: a) assist implementation and sales teams, beginning at the end of the sales process and into implementation, and b) office administration and administrative support for executive management, implementation team and sales team.  This is an entry level position, with a potential future movement into implementation.

 

 

Job Duties Include:

  • Implementation Assistant; may include the following:
    • First contact with new CertiPay clients to prepare them for implementation
    • Internal follow up on status of add on service setups
    • Work closely with Implementation team in areas including but not limited to the following:
      • Conversion Assistance hand-keying of employee demographics and QTD/YTD balances
      • Check History adjustments
      • Loading Accrual balances
    • Sales Assistant; may include the following:
      • Assist sales team by ensuring all paperwork is received from clients and following up with a designated salesperson to secure missing papers (end goal is to ensure complete packet of new client information is provided to designated Implementation Consultant)
      • Assist in preparing for sales meetings and/or client presentations, including scheduling travel arrangements
      • Maintain and consolidate sales data and generate reports
      • Special projects for sales management
    • Office Administration and Administrative Support; may include the following:
      • Answer main phone line and check voicemail/return or delegate calls as appropriate
      • Screening calls
      • Meeting and Event arrangements
      • Perform related clerical work such as typing, filing, preparing reports, creating spreadsheets and presentations
      • Manage/order office, kitchen and bathroom supplies as needed to ensure appropriate levels and organization of supplies
      • Assist with cleaning up office on a daily basis (kitchen, etc);
      • Coordinate shipping of materials as needed;

 

 

Qualified candidates would meet the following requirements:

  • High school diploma or equivalent; advanced technical or college degree preferred
  • Working knowledge of payroll administration/processing (post-high school payroll courses at minimum)
  • Basic knowledge of accounting principles and payroll/tax topics a plus
  • Detail orientated, with ability to focus on and comprehend numerical and financial data
  • Customer-service oriented
  • Excellent interpersonal, verbal/written communication, and customer service skills
  • Ability to handle multiple tasks/projects under tight deadlines
  • Ability to multitask by interacting with clients and internal team, at times simultaneously
  • Ability to work independently as well as part of a team, with minimal supervision
  • Ability to engage in positive participation within a team oriented environment
  • Depth in experience and ability using MS Excel; strong working knowledge of MS Word and Outlook

 

 

Physical demands of this position:

  • While performing the duties of this position, the employee is regularly required to talk and hear
  • The employee frequently is required to use hands or finger, handle, or feel objects, tools or controls
  • The employee is frequently required to stand, walk, climb stairs, sit, reach with hands and arms, climb or balance, and stoop, kneel, crouch, or crawl
  • The majority of work is conducted at a computer and so the job requires extended periods of sitting at a desk and viewing/reading a computer monitor
  • The employee may occasionally lift and/or move up to 50 pounds
  • Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus
  • The noise level in the work environment is usually moderate
